How do I search for other members' Planned Flights to join?

If you want to search all of the planned flights posted by other members, just click on Search Planned Flights in your dashboard.

You can search posted flights either by the three-digit airport code (eg. ISP, HWV, F45, etc.) OR by the state (eg. New York, Florida, etc.). Please note that you cannot search using both fields, only one or the other.

Your search will return planned flights that are departing from the airport or state you have entered for your search.

Please note that when the date of a posted flight has passed, it will automatically be removed from the system and will not show up in the search results.

How do I view all of the details of a posted Planned Flight?

If you want to see the full details of any posted Planned Flight, just click on the FLIGHT DETAILS button to the right of the listing to expand the listing and view all of the flight details.

Why are my Planned Flights not displaying in the search results?

In order to ensure you are only viewing other members' posted Planned Flights, your posted Planned Flights will not show up when you search. Other members will see your posted Planned Flights when they search inside their accounts. The only way to see your posted Planned Flights is to click on My Planned Flights in the member dashboard.

Please note that when the date of a posted flight has passed, it will automatically be removed from your listings of posted Planned Flights.

How do I post a Planned Flight?

To post one of your Planned Flights for other pilots and observers to find, just click on the Post A Flight Plan link inside your Membership Dashboard. Simply complete the form with all of the information about your flight. Remember that all fields marked with a red * are required and that if you omit any of the information the form will not submit until all of those required fields are completed correctly. Once the flight plan form is submitted, it will be added immediately for other pilots and observers to find and submit requests to join you on that flight. Please note that once you post a flight plan in CANNOT be edited.

Can I post a flight without a three-digit airport code?

Yes, if your flight is departing from or has a destination that is not an airport with a three-digit code, you can still add the flight. For example, if your flight is departing or has a destination such as a landing field or lake, just describe the location as best you can and leave the airport code field blank. You may also want to describe the location as best you can in the "Remarks" section. If you are posting flights that list airports, we highly recommend you include the correct three-digit code with your listing to ensure your flights show up when other members are searching. If you want to look up a specific airport's three-digit code, you can visit airportcod.es.

How do I accept a request to join one of my Planned Flights?

When another member makes a request to join your Planned Flight, you will receive an email with a notification that the member is requesting to join your flight as either the 2nd pilot or as an observer along with that member’s contact information. If you do not already know who that member is, we suggest you view their member profile as well as call or email them to discuss their participation. It is up to you to interview and vet this member to ensure you are comfortable having them join you on your planned flight.

Once you carefully considered a request, you may accept it by visiting the "My Planned Flights" page inside your dashboard. Any of your Planned Flights that have any requests will be indicated by a “!” icon under the NEW REQUESTS? column. Click on FLIGHT DETAILS to expand the listing scroll down to the "Requests to Join Flight" table underneath the expanded details. All members who have an open request will be listed. Click the button under the STATUS column to accept that member’s request.

How do I deny a request to join one of my Planned Flights?

If you do not want to accept specific requests to join any of your planned flights, you do not need to take any action. Simply ignore any requests you do not wish to accept.

How do I remove a member request from a Planned Flight that I have already accepted?

There is no way for you to remove a member request that you have already accepted, so make sure you are positive you want a member to join you for a flight before accepting them. The proper way to remove a member that you have already accepted is to contact them via their email address or contact number and explain to them why you must remove them. Once they understand the reason, have them log into their account and cancel their request to join that flight. Once they cancel their request, that slot will be opened again, and other members will be able to make new requests, or you will be able to accept one of the other previous requests that are still pending.

If for some reason you cannot contact the accepted member and you must remove them, you will have to cancel or remove the entire flight listing. This will notify all accepted members that the flight has been canceled. You can then re-list the same flight again to start the process over.

How do I edit or remove a Planned Flight I have already posted?

Please note that once you post a Planned Flight it CANNOT be edited. The reason we do not allow you to edit a submitted Planned Flight is due to the fact that other pilots or observers may have already sent requests based on the information you have posted and that changing that information would be similar to changing a contract after it has been signed by another party.

If you need to remove or cancel, any of your posted Planned Flights for any reason, you can do so by visiting the "My Planned Flights" page in your dashboard, clicking on the FLIGHT DETAILS button for that flight, and then clicking the REMOVE/CANCEL THIS FLIGHT button at the bottom of that flight’s details section.

When you remove or cancel any of your Planned Flights, it will also be automatically removed from the dashboard of any members that have requested to join that flight, or who you have already accepted requests from.

When I remove or cancel a Planned Flight, who will be emailed?

When you remove or cancel a Planned Flight, any member who has submitted a request to join that flight (whether you have accepted their request or not) will be emailed that the Planned Flight has been canceled. If you remove or cancel a Planned Flight that you have already accepted requests to join, it is always a good idea to contact those members directly via email or phone to let them know that a flight was canceled - especially if you canceled the flight at the last minute. Yes, that canceled flight will be removed from other members’ dashboards, but those members may not check their account and notice that your canceled flight was removed. You will also receive an email notification for all flights you cancel or remove.

Why don’t I have a "Post a Flight Plan" link on my dashboard?

If you do not see the "Post a Flight Plan" link when you are logged in to your dashboard, this is because you have signed up as a Flight Observer member and not as a Pilot. Only pilot members are allowed to post Planned Flights.
